GCHA POSITION VACANT - OFFICE ADMINISTRATOR

The Office Administrator’s primary role is to ensure that the office is attended for the 5 hours per day, as agreed by the board. This position is permanent part time with an average of 22.5 hours per week pending peak times through the main season. Incoming phone calls are to be answered in a timely and professional manner. Members, Suppliers and Visitors to the GCHA Facility are to be greeted and attended to in a prompt professional manner.

The Key Functions are:

  • To manage the administration office
  • Prepare & collect courier documentation incoming & outgoing as required.
  • Accountable for all Filing, emails, daily electronic backup.
  • Maintain stationery supplies for administration, GCHA sub committees, High Performance Coach & amenities as required.
  • Administrative tasks such as reconciling timesheets & collecting sub-contractor invoices and readying for payment.
  • Liaise with High Performance Coach & arrange accommodation, flights & other travel requirements for association representative players coaches & managers
  • Actively engage with coaches & managers seeking input into trip costings & other travel requirements. Look to find cost savings where possible.
  • Ensure representative teams coaches & managers reports & reconciliations are completed & distributed to the board within a timely manner on return.
  • Document items supplied to representative teams including but not limited to uniforms, socks & balls and ensure all are returned & accounted for in a timely manner.
  • Assist in Events Management
  • Monitor IMG database, liaise with member clubs & reconcile member registrations.
  • Reconcile high performance data base & invoice athletes at the start of each program, with the involvement of the high performance coach.
  • Accounting responsibilities include banking, budget management, accounts receivables and payables and reporting of financials in a timely and consistent manner in conjunction with the Finance Director for approval and reporting purposes.
  • Record minutes of meetings & distribute as required.
  • Ensure that the website, Facebook and External Marketing shows upto date information that promotes GCHA & the sport on the Gold Coast   
  • Liaise with and assist all Directors of GCHA in necessary secretarial duties and respond to requests from board of directors within requested time frames.
  • Maintain Turf booking hire and association calendar

What we are looking for:

  • A minimum of 2 years’ experience as an Office Administrator.
  • Efficient and courteous
  • Friendly and professional manner
  • Excellent organisation and communication skills
  • Flexible and adaptable with day to day tasks 
  • Well presented, punctual and dependable
  • Can work within a team environment to achieve team objectives and time frames
  • Shows Initiative
  • Attitude to get the job done.

Desired but not essential:

  • 40WPM minimum typing speed
  • MS Office (intermediate level)
  • QuickBooks- data input and reconciliation
